  4. Exhibitor: Any Company / Organisation / Country participating at Excon 2009.
  5. Exhibition: Excon 2009; November 25 - 29, 2009, BIEC, Bengaluru, ndia.
  6. Exhibitor Eligibility: Any Indian / Overseas Company / Organisation with interests in the Construction Equipment & Technology.
  7. Space Rent and basic condition for participation:
    Detailed design & participation guidelines will be sent and the same has to be followed by all exhibitors.
    1. Outdoor Raw Space: Organisers will provide natural unpaved earth as which is open to the sky. While the land is compacted, it is not flat and has gradual slope.
    2. Indoor Bare / Raw Space: The Organiser will provide only Air-conditioned raw space. The exhibitor should apply for all other requirements including electricity. The floor bearing capacity to be checked with organisers before finalising on heavy exhibits.
    3. Built-up Indoor Space: The Organiser will provide built-up modular stalls of international specifications for indoor exhibitors. Each stall will have Basic furniture, Spot lights, Electric plug points (5/15 Amps) single phase connection with free electricity to the extent of .75 kw per day, Waste paper basket, Fascia with company name, Synthetic carpeting, General security and conservancy.
    4. The prospective Exhibitor should apply on the Exhibition space booking form, together with payment. Allotment will be confirmed on subject to receipt of all payments. All payments should be by demand draft payable to CONFEDERATION OF INDIAN INDUSTRY, Chennai. Organiser reserves the right to reject or cancel any space booking if stall rent specified is not paid by the exhibitor in the stipulated time.

    6. The Organiser reserves the right to reallocate space, change the layout, add or delete corridors as shown in the printed space plan which may affect the orientation of some Exhibitors. The Organiser's decision will be final in such matters.
  8. Cancellation - Refund of Space Rent: In the event of cancellation of exhibition space by the exhibitor at Excon the amount will not be refunded.
  9. Application for participation: Application for space in the prescribed form duly signed must be mailed to CII.
  10. Terms of Payment: 50% as advance payment to be paid to confirm the stall and balance to be paid by September 1, 2009. In the event of default in payment by the stipulated date, the Organiser shall reserve the right to refuse participation by the exhibitor and allot the space to another company without prior notice.
  11. Subletting: Subletting of space is not allowed. However Exhibitor companies can promote their group companies. Any violation will be dealt with seriously and the organisers decision will be final.
  12. TDS Exemption: Please discuss with the Space Sales officer coordinating with you before any TDS deduction. Incase the Exhibitor has to deduct TDS then the amount and the percentage deducted has to be clearly mentioned in the covering letter.
  13. Space Security Deposit: 10% of space rent or Rs. 50,000 which ever is less is to be sent along with the Exhibition space booking form which will be refunded after adjusting dues, if any, 45 days after the closure of the Exhibition in Indian Rupees only.

'The above charges for service connection includes wiring up to the Main Switch Board provided in the stall. Drawing power from the main supply points to the respective machines will have to be carried out by the participants themselves through licensed electrical contractors at their own cost.

Organisers will not alter the electricity requirement at the venue once confirmed by the exhibitor.

  1. Damages: Exhibitor will be required to make good all damages, (or make payment in lieu thereof) incurred during setting up and/or adjustable against Security Deposits Exhibition period and/or dismantling period at the exhibition centre.
  2. Approval for design of stand: The Exhibitor shall be required to submit the stand design drawings complete with details of exhibits, and electricity, in triplicate. This should be in keeping with accordance to the "Exhibition Stall Design Guidelines" shall be furnished to the Exhibitor. Any change suggested by the Organizer has to be done by the exhibitor as the organizers decision shall be binding and final. An early submission of design will be of benefit. Excon 2009 will have strict norms of demonstration of exhibits, dust, safety, sound levels and structures.

    Indoor Built-up stalls will have the standard Fascia with Company name (octonorm structure). The same cannot be dismantled under any circumstances
  3. Entry in the Exhibition Catalogue: On firm allotment of stall, exhibitors shall be sent forms for free entry in the Excon 2009 Exhibition Catalogue. The completed forms Should be mailed to CII latest by October 30, 2009. The Exhibitors who do not comply with the prescribed time schedule will note be featured in the Exhibition Catalogue.
  4. Advertisement in the Exhibition Catalogue: Mechanical data with rates is enclosed. Non-Exhibitors may also advertise.
  5. Sale of Exhibits: Removal of any Exhibit during the Exhibition period is prohibited. Negotiations for sale, however, may be conducted. Between November 25 - 29 no equipment can be taken in or taken out of the stall area once the exhibition starts. The Organiser shall appoint official agent for handling, clearing and forwarding exhibits. The Exhibitors are requested to contact the agent directly for utilising their services. No other handling agent will be allowed to operate inside the venue. Exhibitors are free to employ / appoint a freight forwarder of their choice except for the handling in the Excon 2009 venue.
  6. Telephone: Local Connection - Subject to availability; Organiser will provide connections for duration of the Exhibition at Rs.7,000/- / US$ 175 per Non STD telephone connection which includes free local calls.
  7. Insurance: Against all ascertainable risks from transportation to display and removal should be done by Exhibitor at his own cost. The Organiser will be no way responsible.
  8. Settlement of Charges: Any and all expenses chargeable to an Exhibitor must be settled before the close of the Exhibition to ensure smooth removal of goods from the Exhibition site.
  9. Not Transferable - You cannot sell, assign, rent, sublease, transfer, trade or share any part of the exhibit area provided to you with any other company, person or organization.
  10. Show hours : Exhibitors will be allowed to enter the venue one hour before opening and must leave atleast half hour after closing for security reasons.
  11. No exhibitor will be permitted to exhibit unless he has paid prior to the exhibition all fees agreed to.
  12. Exhibitors are expected to comply with any building regulations, ground regulations and all government rules and regulations.
  13. Attendance hours shall be controlled solely by the organiser who will specify hours etc.
  14. The Organiser will not be responsible for any loss or damage by fire or injury of any nature to any person or article. Security will be on duty, day and night, but the organiser, while taking atmost precautions against loss, will not guarantee against it and it is hereby expressly released from any liabilities for injury, theft or damage therefrom.
  15. The Organiser will not be liable for loss, damage or delay resulting from acts of War, Civil Commotion, Strikes, Lockouts, Inventions or Regulations, Natural Calamities, Military activity or any other circumstances which shall make it impossible or inadvisable for the organisers to hold the exhibition at the time and place provided and organisers reserve the right to reschedule the exhibition to a later date and / or at an alternative venue.
  16. The Organiser is not constitute a basis for cancellation of this contract / application and it is understood entry into the country where the exhibition is to be held. The fact that the exhibitor is successful in obtaining his documents form the necessary government authorities will not constitute a basis for cancellation of this contract / application and it is understood that no refund what so ever will be made by the organiser. The Exhibitor however, may substitute another company who meets the entry and government formalities necessary for entry into the country where the exhibition is to be held. Such substitution shall be the sole responsibility of the contracting exhibitor.
  17. The Organiser is not responsible for any loss, damage or delay incurred in freight shipments (transport handling and clearing)

Second Hand Equipment: Companies dealing with the second hand equipment as their main business cannot participate at Excon 2009. Companies who have second hand equipment selling as one of their business, should not display / promote the same.
